Duties:

  • --Cooperation with Landlord on: rent agreements (4500 sq. m.), works in the office building, repairs, incidents, etc.

  • --Fire safety and security issues: fire drills and audits organization, business continuity Dnipro lead, access control, parking issues solving.

  • --Office Space optimization: organization of teams’ movements inside the Office - planning, agreeing, controlling; reconstruction of premises - planning and realization; budgeting in this area.

  • --Budgeting, purchasing, contracting and documents flow management, working with vendors.

  • --Office establishment: furniture purchase, rooms decoration or reconstruction, new facilities launching - planning and realization. Real estate market review.

  • --Facility Management and Cleaning Ladies Team lead (2 office-managers and 5 cleaning ladies) – hiring, tasks tracking, support and back-up, vacations, sick-days, salaries control, etc.

  • --Support for office employees (more than 300 people) in all administrative issues, presentation of the office for new employees (onboarding), assistance in organizing team buildings and corporate events.

Main achievements:

  • --Customer satisfaction level in Dnipro region reached 9 of 10 points – the highest rate in Ukraine.

  • --ISO 22301 audit assistance in Dnipro branch – successful company certification as a result.

  • --Quick and total cash elimination in Dnipro Branch: all facility management expenses were transferred to non-cash transactions within one month.

  • --Up to 25 Teams moved, new rooms for them were provided within a very short time. Responsible for negotiating with Team Leads, Managers and sometimes with Clients.

  • --Office improvements: new working chairs for all the employees were purchased and replaced.

  • --Facility management team updated: two new Office managers and a handyman were hired and trained.

Duties:

  • --Coordination and control of warehouses working process: cigarettes WH (until 2013) and POSM WH (from 2014: Dnipro, Poltava, Mykolaiv, Donetsk), ensuring materials receipt, storage and dispatch in obedience to the legislation of Ukraine and requirements of PMU.

  • --Organization of maintenance services for the offices and the warehouses: conditioning and ventilation, forklift, fire and security systems regular service, small repairs, renovations. Business relationships with leaseholders: contracts, payments, rent cost discussion.

  • --Security division and other contracted organizations control: loaders, cleaners etc. (10 people).

  • --Management and development of personnel, planning and estimation the results of their activity (1 customer service executive and 3 warehouse administrators in different regions).

  • --Budgets planning, agreeing and control for entrusted regions (Dnipro, Poltava, Mykolaiv, Donetsk, Zaporizhia), control of purchases and expenses, permanent monitoring, regular reporting and forecasting (one time ******* months). Control of document flow with vendors.

  • --Development of distribution and customer service, planning of materials delivery, providing their presence at WH, and poorly turned materials move. Cigarettes transportation and distribution control.

  • --Environment, health and safety, and fire safety responsible: teaching and instructing of the personnel, ensuring implementation of Ukrainian legislation norms and requirements of PMU on the entrusted premises (warehouses and offices). Declaration of premises on fire safety in local administrative authorities.

  • --Maintenance of positive business relationships with local-authorities, building and maintenance of PMU positive image among clients and vendors.

  • --New office establishing (in Zaporizhya).

Main achievements:

  • --High-quality planning and control of the entrusted budgets with deviation up to 2-4% a year;

  • --Opening a new regional office in Zaporizhia in shortest time: search and selection of office premises, lease agreement discussion and signing, planning and agreeing the project of the office modernization in obedience to the requirements of PMU (networks, equipment, security systems and CCTV, conditioning, furniture and refurbishment), organization and planning of purchases. Declaration of office premises on fire safety;

  • --Warehousing optimization project for wholesale customers (project development, presentation to management and customers, warehouses audits, development of recommendations for improving warehouse processes);

  • --Participated in the unique course on the safe operation of racking systems by a trainer from Germany (Philip Morris International).

  • --Correct and timely document flow was organized with the clients and the suppliers.
